Quay-Pharm Ltd, trading as Sweenys Health and operating from H Sweeny Chemist, is the controller of personal information used to provide Sweenys Health services. Our ICO registration reference is ZA043244.

Information we may collect

  • Identity and contact details, including your name, date of birth, address, telephone number and email address.
  • Appointment and communication information, including booking details and messages you send us.
  • Health information needed for safe care, such as medical history, medicines, allergies, measurements, consultation notes, treatment decisions and follow-up records.
  • Transaction and administrative information relating to private services.
  • Limited technical and security information needed to operate and protect the website.

Please do not send confidential clinical information by ordinary email unless a member of our team has specifically asked you to do so. We will direct you to an appropriate secure route when health information is required.

How and why we use information

We use information to respond to enquiries, arrange appointments, assess clinical suitability, provide and monitor care, maintain appropriate clinical and financial records, manage complaints, protect patients and staff, and meet professional, regulatory and legal duties.

Our lawful bases

Depending on the purpose, we rely on steps taken at your request and performance of a contract, compliance with legal obligations, our legitimate interests in safely operating and improving our services, and—in limited circumstances—your consent. For health information, which receives additional protection, we rely where appropriate on the condition for health or social care provided by or under the responsibility of a health professional subject to confidentiality obligations. Other conditions may apply where required to protect vital interests or establish, exercise or defend legal claims.

We use consent for direct electronic marketing where consent is required. You can withdraw marketing consent at any time without affecting your care.

Who we may share information with

We share only what is necessary and appropriate. Recipients may include members of our clinical and administrative team; healthcare professionals involved in your care; NHS or HSC bodies where relevant; laboratories, medicine suppliers and other clinical service providers; booking, secure records, IT and payment providers acting for us; professional advisers, insurers and auditors; and regulators, safeguarding bodies, courts or law-enforcement agencies where disclosure is required or justified.

Online appointment booking is provided through Calendly. Clinical assessment and record management for relevant private services are supported through the PharmaDoctor clinical platform. Where a selected appointment requires a deposit, payment is processed through Stripe within the booking flow. We receive transaction information needed to confirm and administer the booking, but do not store full payment-card details on this website. These providers process information under their applicable privacy information and contractual data-protection arrangements.

International transfers

Some technology providers may process information outside the UK. Where this happens, we require an appropriate legal transfer mechanism and safeguards. Contact us if you would like more information about safeguards relevant to your information.

Cookies and website analytics

We use essential browser storage needed to remember your privacy choice. With your permission, we also use Google Analytics to understand how visitors use the website and whether appointment buttons are selected. Google Analytics is not loaded until you choose “Accept analytics”. We do not intentionally send clinical questionnaire content, consultation records or payment-card details to Google Analytics.

You can reject optional cookies without losing access to the website. You can also reopen “Cookie settings” at the bottom of any page and change your choice at any time. Withdrawing consent stops future analytics storage on this website; you can also clear existing cookies through your browser settings.

How long we keep information

We retain clinical records in line with applicable legal, professional, indemnity and record-management requirements. Other information is kept only for as long as needed for the purpose collected, including legal, accounting, complaints and security requirements. Analytics information is retained according to our Google Analytics settings and is reviewed periodically. Retention is reviewed and information is securely deleted or anonymised when it is no longer required.

Your data protection rights

Depending on the circumstances and lawful basis, you may have rights to access your information, correct inaccurate information, request erasure or restriction, receive certain information in a portable format, and object to particular uses. These rights are not absolute; for example, we may need to retain clinical records despite an erasure request.

Your right to object

You have an absolute right to object to direct marketing. You may also object to processing based on legitimate interests; we will consider your request and explain the outcome.

We do not make solely automated decisions about clinical eligibility or treatment. A qualified healthcare professional makes the clinical decision.

Children’s information

Where a service involves a child or young person, we process information with appropriate consent or other lawful authority and take account of their age, understanding and best interests.
